This policy explains how MinutesLoop (“we”) handles personal data when you use MinutesLoop.

Who is responsible

MinutesLoop is the controller of your personal data. You can reach us at [email protected].

What we collect

• Account: name, email, and authentication data (including Sign in with Google, if you use it).
• Your content: meeting minutes, notes, actions, and other material you or your team add to a workspace.
• Billing: handled by Paddle. We never see your card number; we receive your subscription status and plan.
• Technical: IP address, device and log data needed to run and secure the service.

How we use it

To provide MinutesLoop and sign you in (contract); to send service email such as invites, access, and digests; to secure and improve the service (legitimate interests); to bill through Paddle; and to meet legal obligations. We do not sell your personal data.

Service providers we use

We do not sell or trade your personal data. We disclose only the limited information needed to provide MinutesLoop, when you choose a connected service, or when required by law.

• Billing: when you purchase a subscription, Paddle processes your checkout, payment, and invoice information as our Merchant of Record. MinutesLoop does not receive your full card details.
• Hosting and email: these providers process account, workspace, or email-delivery data only as needed to operate MinutesLoop and send service messages.
• AI features: when you use AI-powered extraction, insights, or assistant features, the relevant content and instructions are processed by an AI service provider to generate the requested result.
• Google sign-in: if you choose Sign in with Google, Google processes the sign-in request and provides the account information needed to authenticate you.

Our providers operate in several countries, so your data may be processed outside the country where you live.

Retention and deletion

We keep account and workspace data while your account is active. You can delete your account in the app or by emailing us; we then remove or anonymise your data within a reasonable period, unless the law requires us to keep some of it longer (for example billing records).

Your rights

Depending on where you live, you may ask to access, correct, export, or delete your personal data, or object to certain uses. Email [email protected] and we will respond. You may also complain to your local data protection authority.

Cookies

We use essential cookies or local storage for sign-in and preferences. We do not use third-party advertising cookies on the marketing site.

Children

MinutesLoop is a business tool and is not directed to children under 16.

Changes

If we change this policy, we update the date above and, for material changes, notify account holders by email or in the app.
